We are seeking an experienced Executive Assistant to work in close partnership with our Executive Officer, providing her with trusted, high-quality executive and administrative support in a small, purpose-driven organisation.
About the Role
This is a senior Executive Assistant role, suited to someone who enjoys working with autonomy, precision and purpose. You will be a trusted partner to the Executive Officer, supporting her with the smooth, professional operation of Rendere’s executive, governance and administrative functions.
A key priority in the first 6–12 months will be the implementation and stewardship of Rendere’s CRM system (Airtable), alongside strengthening core systems, records and processes as the organisation evolves.

Key Responsibilities
Executive & Administrative Support
- Provide proactive, confidential and reliable executive assistance to the Executive Officer, including diary coordination, meetings, correspondence and document preparation
- Act as a professional first point of contact, exercising sound judgement and discretion
- Prepare and proofread high-quality correspondence, reports and meeting papers
- Support coordination of meetings, actions and follow-ups to maintain momentum and accountability
CRM & Systems Ownership (Core Priority)
- Lead the implementation and ongoing management of Rendere’s CRM (Airtable)
- Migrate, review and maintain data with a strong focus on accuracy and usability
- Establish data structures, permissions, SOPs and documentation
- Ensure information supports effective reporting, compliance and decision-making
Governance & Records Support
- Assist with preparation and coordination of board and governance documentation
- Maintain accurate, secure and accessible records in line with governance requirements
- Support record-keeping across funding, grants, partnerships and associated entities
Systems & Continuous Improvement
- Develop and document administrative and operational procedures
- Identify and implement improvements to systems, workflows and data quality
About You
This role is not suitable for entry-level applicants. You will bring experience, judgement and confidence working closely with senior leaders in a small, values-led organisation.
You are highly organised, detail-focused and proactive, with a strong appreciation for discretion, trust and professionalism. Experience or interest in philanthropy, environmental conservation or purpose-driven work will support strong alignment, though this is not essential.
Key Selection Criteria
Applicants must address the following criteria in their cover letter for their application to be considered:
- Executive & Administrative Support Experience
Demonstrated experience providing professional, confidential administrative or executive support to a senior leader. - Systems & Data Capability
Strong attention to detail with experience maintaining accurate records, managing administrative systems, and working confidently with data and digital tools (CRM experience desirable). - Organisation & Initiative
Proven ability to manage competing priorities effectively, work proactively, and maintain reliable systems and workflows in a small or evolving organisation. - Communication & Stakeholder Judgement
Clear and professional communication skills, with sound judgement when engaging with boards, partners, funders and external stakeholders. - Values Alignment & Contextual Awareness
Alignment with a purpose-driven organisation, with an interest in environmental conservation or philanthropic impact and an appreciation of governance and non-for-profit contexts.
Role Details
- Part-time: 0.6 FTE (three days per week)
- Required day: Wednesdays
- Hours: 9.00am – 5.00pm (flexible hybrid arrangement)
- Location: Melbourne-based (hybrid)
Initial onboarding (first ~3 months):
Up to two days per week in-person (North Melbourne / East Melbourne)
Post-onboarding:
Primarily remote / hybrid with regular in-person attendance as required
Remuneration
- $75,000 – $85,000 pro rata + 15% superannuation, depending on skills and experience
- Classified under the Clerks – Private Sector Award 2020, paid above award
- The remuneration reflects the seniority, trust and systems responsibility of the role within a small philanthropic organisation
